When you reproduce any copyrighted work (books, journal articles, images of artwork, etc.) for use in a Course Reader, or any course materials, the overall rule governing the use of these works is known as the “fair use doctrine”. Fair use allows reproduction and other uses of copyrighted works – without requiring permission from the copyright owner – under certain conditions. In many cases, you can use copyrighted materials for purposes such as criticism, comment, news reporting, teaching (including multiple copies for classroom use), scholarship or research.

Either of the following forms MUST be submitted with your course reader materials:
- If your reader, lab manual or workbook DOES NOT require copyright clearance, please download and complete the Authorization to Reproduce Printed Materials Form.
- If your reader, lab manual or workbook DOES require copyright clearance, please download and complete the Copyright Clearance Request Form.
Once you have your materials collected and you’ve completed your forms, you can either:
- Bring your materials and the completed form(s) to Jack Baskin Engineering, Room B25 between 8 am and 4:30 pm, Monday through Friday; or
- Email your materials and the completed form(s) to profpub@ucsc.edu. Don’t forget to save your forms before emailing them to us!
Submission Dates
Readers NOT requiring copyright clearance
If the course reader you’re submitting for publication does not require copyright clearance, the latest you really want to submit it is one week prior to the first day you need them in class. Anything later we still may be able to accommodate and meet your deadline, but it’s not guaranteed. Core course readers, or other readers that serve large class sizes need to be submitted at least a few weeks prior to the first day of classes.
Readers requiring copyright clearance
If your course reader requires copyright clearance, we need you to submit the reader at least 5 weeks ahead of the first day of instruction. Suggested submission dates for readers requiring copyright clearance are below.
